4 Types of Estate Cleanout We Handle
Estate cleanouts mix emotion and logistics. These four kinds of work cover most homes, and the scope lists which apply to yours.
Post-Death Clearing (Respectful Pace, Keepsakes Set Aside)
Post-death clearing is paced around grief. Families often need a few hours with a room before anything moves, and we plan for that. Crews start with the spaces family has already gone through, then work toward the rooms that hold the most meaning. Keepsakes are set aside by hand: photos, letters, recipe cards, jewellery, military papers, religious items and anything with a name on it. Clothing and linens are sorted for donation, family or disposal as you decide. If the death was unattended or there are biohazards, our trauma scene crew handles those areas first under PPE so the rest of the clearing can go ahead safely.
Executor & Probate Support (Inventory Photos, Records for the Estate)
Executor and probate support gives the estate trustee a clear paper trail. Before removal, we take inventory photos of each room and any items of note. As we clear, we list what went to beneficiaries, what was donated and what was disposed of, with weigh tickets and charity receipts where available. Documents like bank statements, tax records, deeds and wills are set aside in a sealed box for the executor. This record helps with estate accounting and answers questions from beneficiaries later. For executors who need full probate documentation and remote management, our dedicated executor estate cleanout service goes further.
Family Item Separation (Labelled by Beneficiary)
Family item separation keeps the peace and keeps promises. Before we start, the family or executor gives us a list of who gets what, or we help build one during the walkthrough. Each beneficiary gets an area and boxes labelled with their name. Relatives who live overseas or out of province get photo inventories so they can choose by text or email. Disputed items go into a hold box with a photo, and nothing in it is moved until the family agrees. We can pack items for shipping, deliver locally or move them to storage. Beneficiary item separation is often the part families remember most.
Pre-Sale Ready (Cleaned, Odour-Neutral, Realtor Handoff)
Pre-sale ready means the house can go straight to listing. Once contents are cleared, we clean every room top to bottom, detail the kitchen and bathrooms, wash floors and treat odours from smoke, pets or a long-closed house. Basements and garages are swept and left empty. We note any repairs the realtor may want to know about, such as water staining, damaged flooring or broken fixtures, and photograph them. When the home is ready, we coordinate a final walkthrough with you or the realtor and hand over the keys. Many realtors ask us to come back for a quick refresh before an open house.
When Toronto Families Need Estate Cleanouts Fast
Death Without a Will. Intestate Property Clearance
Symptom: A parent, sibling or partner has died without a will. Probate is in progress but the property needs to be cleared, sorted, inventoried for the estate, and either sold or returned to a landlord. Multiple family members disagree on what to keep, donate or dispose of.
Immediate action: Appoint one point of contact among the family before any sorting begins. Secure the property (change locks or add deadbolt). Produce a quick digital inventory of high-value items with photos (Encircle app works well) for the estate lawyer and the probate file. Do not throw anything away until the executor is appointed.
Scope: We work alongside the family and estate lawyer, use a 3-category sort (keep for family / donate / dispose) with input from each named beneficiary via one point of contact, produce digital inventory with photos and weigh tickets for the Ministry of Finance estate return (due within 180 days of probate), route donations to Furniture Bank and Habitat ReStore with receipts, and manifest regulated waste. Typical intestate cleanouts $2,500 to $9,500, 1 to 2 weeks of staggered visits with crew of 2 to 4.
Qualified contractor response: Needs understanding of probate timelines, Ministry of Finance 180-day return, Encircle or equivalent digital inventory capability, donation routing partnerships, and family mediation skills to work through disputed items. Avoid any crew that quotes a one-day blitz for an intestate cleanout.
Downsizing to Long-Term Care With a Fixed Move Date
Symptom: A parent or in-law is moving to a long-term care facility within 30 to 60 days. The home or condo must be cleared and sold or returned to the landlord. The senior wants to bring some belongings to LTC and is distressed about leaving the rest.
Immediate action: Create a 3-column inventory sheet before any sorting: “coming to LTC” / “going to family members” / “donate or dispose.” Involve the senior in the “coming to LTC” list first so they feel heard. Loop in the LTC admissions coordinator on the storage allowance (usually one room’s worth). Loop in the realtor or landlord on the timeline.
Scope: We sort with the senior and family in staggered visits (1 to 3 weeks), pack and label the LTC-bound items and family keepsakes, route donations to Furniture Bank and Habitat ReStore with weigh tickets, remove regulated waste with manifested disposal, and leave the home ready for cleaning or realtor staging. Cost $2,500 to $8,500, 1 to 3 weeks with crew of 2 to 4.
Qualified contractor response: Needs patience and dignity-first approach, LTC admissions timeline awareness, donation partnerships, and willingness to work in short visits over weeks rather than one blitz day. Should coordinate with the realtor or landlord without taking over family decisions.
Pre-Sale Estate Cleanout With Realtor Timeline
Symptom: An inherited home needs to be cleared and listed within 4 to 8 weeks to meet market timing or settle the estate. The executor is managing from Calgary, Vancouver or abroad. The realtor needs the home empty, cleaned and staging-ready.
Immediate action: Confirm executor authority (certificate of appointment). Give the executor remote-decision tools (video walkthrough, photo-by-photo approval). Coordinate with the realtor on target list date. Confirm anything beneficiaries want to keep is identified BEFORE our clearance begins.
Scope: We produce a digital inventory of valuable items for the executor to approve remotely, work with the realtor on staging-ready condition, route donations with weigh tickets, dispose of unwanted items with manifested disposal, and coordinate with cleaners and painters where needed. Typical pre-sale cleanouts $3,500 to $12,500, 1 to 3 weeks with crew of 3 to 5. Photo documentation sent to the executor daily.
Qualified contractor response: Needs executor-remote-decision workflow (video walkthroughs, photo approvals), realtor timeline awareness, donation routing with weigh tickets, and the ability to coordinate with cleaners, painters and stagers to deliver a listing-ready home. Avoid any crew that works without a written executor-approved scope.
